Terms and Conditions

1. Agreement to Terms

These Terms and Conditions govern travel planning, booking, reservation, consultation, and related services provided by Russell Travel Agency, DBA Russell Ventures LLC (“Agency,” “we,” “us,” or “our”). By requesting services, approving an itinerary, making payment, or submitting traveler information, the client and all travelers included in the booking (“you” or “traveler”) agree to be bound by these Terms and Conditions.

2. Scope of Services

Agency acts as a travel advisor and booking intermediary for transportation, lodging, tours, cruises, excursions, travel insurance, and other travel-related services offered by independent third-party suppliers. Agency may provide itinerary design, booking assistance, supplier coordination, destination guidance, and administrative support. Unless expressly stated in writing, Agency does not own, operate, manage, or control airlines, hotels, cruise lines, tour operators, transfer providers, restaurants, attractions, or other suppliers.

3. Client Information and Traveler Responsibilities

You are responsible for providing complete, accurate, and timely information for every traveler, including legal names exactly as shown on government-issued identification, dates of birth, passport details and validity of 6 months past travel dates, contact information, accessibility needs, dietary restrictions, loyalty numbers, and any other information required by suppliers. Agency is not responsible for errors, denied boarding, penalties, rebooking costs, or travel disruptions caused by inaccurate, incomplete, or late information provided by you.

4. Quotes, Pricing, and Availability

All quotes, prices, fares, schedules, taxes, fees, promotions, room types, cabin categories, and availability are subject to change until confirmed by the supplier and required payments have been received. Quotes may be based on supplier inventory available at the time of preparation and may expire without notice. Additional costs may include resort fees, baggage fees, gratuities, fuel surcharges, local taxes, foreign transaction fees, currency fluctuations, visa fees, and other charges imposed by suppliers or governmental authorities.

5. Deposits, Payments, and Late Payments

Deposits, planning fees, service fees, and supplier payments are due according to the schedule stated in the proposal, invoice, booking confirmation, or supplier terms. Some payments may be non-refundable once made. If payment is not received by the stated deadline, supplier inventory may be released, prices may increase, reservations may be canceled, and reinstatement may not be available. You are responsible for any fees, penalties, price increases, or losses resulting from late or failed payments.

6. Agency Fees

Agency may charge planning, consultation, change, cancellation, research, ticketing, group management, or administrative fees. Agency fees compensate Russell Travel Agency, DBA Russell Ventures LLC for professional services and are separate from supplier charges. Unless otherwise stated in writing, Agency fees are non-refundable once services begin, even if the trip is changed, canceled, postponed, interrupted, or not completed.

7. Changes, Cancellations, and Refunds

All change, cancellation, refund, credit, voucher, and rebooking requests are subject to supplier rules, fare conditions, availability, penalties, and processing timelines. Agency will assist with eligible requests but cannot guarantee refunds, credits, schedule changes, upgrades, or exceptions. Refunds, when approved by suppliers, may take significant time to process and may be reduced by supplier penalties, non-refundable components, credit card fees, currency differences, and Agency fees.

8. Travel Insurance

Travel involves financial and personal risk, including illness, injury, cancellation, interruption, delay, lost baggage, missed connections, supplier default, medical expenses, emergency evacuation, weather events, and other unforeseen circumstances. Agency strongly recommends that every traveler purchase comprehensive travel insurance appropriate for the trip. If you decline insurance, you accept the risk of any uncovered losses and agree that Agency is not responsible for such losses.

9. Passports, Visas, Health, and Entry Requirements

You are responsible for obtaining and carrying all required passports, visas, identification, permits, vaccinations, health documentation, consent letters for minors, and other travel documents. Entry, transit, vaccination, and health requirements may change at any time. Agency may provide general guidance, but it is your responsibility to confirm current requirements with official government, consular, carrier, and destination authorities before travel.

10. Third-Party Suppliers and Limitation of Liability

Agency is not liable for the acts, omissions, delays, cancellations, schedule changes, overbookings, bankruptcies, service failures, negligence, representations, warranties, errors, or defaults of third-party suppliers. To the fullest extent permitted by law, Agency’s liability for any claim related to services shall be limited to the Agency fees actually paid by you for the affected booking, excluding supplier charges, taxes, penalties, and pass-through costs.

11. Force Majeure

Agency shall not be responsible for loss, damage, delay, cancellation, additional expense, or inconvenience caused by events beyond Agency’s reasonable control, including weather, natural disasters, epidemics, pandemics, quarantine restrictions, war, terrorism, civil unrest, strikes, labor disputes, supplier insolvency, governmental action, border closures, cyber incidents, transportation disruptions, or other force majeure events.

12. Conduct, Safety, and Compliance

You agree to comply with supplier rules, safety instructions, local laws, customs regulations, health protocols, and destination requirements. Suppliers may refuse service, remove travelers, or impose penalties for disruptive, unsafe, unlawful, or non-compliant conduct. You are responsible for any damages, fines, expenses, or losses caused by your conduct or the conduct of travelers in your party.

13. Hold Harmless and Indemnification

To the fullest extent permitted by law, you agree to release, defend, indemnify, and hold harmless Russell Travel Agency, DBA Russell Ventures LLC, including its owners, members, officers, employees, independent contractors, affiliates, and representatives, from and against any claims, demands, losses, liabilities, damages, penalties, costs, expenses, or attorney’s fees arising out of or related to your travel arrangements, your conduct or the conduct of travelers in your party, inaccurate or incomplete information provided by you, failure to comply with supplier rules or legal requirements, or the acts, omissions, negligence, delays, cancellations, service failures, or defaults of any third-party supplier. This provision does not apply to the extent a claim is finally determined to have resulted from Agency’s gross negligence or willful misconduct.
